Creating a Smart Mailbox
A Smart Mailbox is one that consolidates all your messages that meet one or more conditions. It doesn't matter
which mailbox the messages currently reside in — it could be any Inbox, the Sent box, or even the Trash. Once
you set up a Smart Mailbox, Mail copies the applicable messages to the Smart Folder, and if any incoming mes-
sages meet the criteria, they also are copied to the Smart Folder. (In both cases, the original messages remain in
their current folders.) It's a great way to keep your messages organized without having to do any of the organiz-
ing yourself.
Follow these steps to set up your own Smart Mailbox:
1. If you want to set up the Smart Mailbox based on the data in an existing message, click the mes-
sage.
2. Choose Mailbox New Smart Mailbox.
3. Use the Smart Mailbox Name text box to type a name for the Smart Mailbox.
4. Specify a condition that messages must satisfy to be put in the Smart Mailbox. You use the list on the
far left to select the message data that you want Mail to use, such as the message priority, the From address,
the Subject line, or the message content. Whether you need to specify more information to complete the cri-
terion depends on the data (see Figure 6.8 for examples).
Some data doesn't require more information. For example, if you choose Message has Flag, the con-
dition is met if a message has a flag.
Some data requires you to specify one other bit of information. For example, if you choose Sender
is member of Group, you must also specify one of your Contacts groups. The condition is met if a mes-
sage was sent from someone in that group.
Some data requires both an operator and some specific information. For example, if you choose
Subject, you must also specify an operator, such as Contains or Begins With, and then some text. The
condition is met if a message has Subject text that matches what you specify.
6.8 Some examples of the conditions you can specify for a Smart Mailbox.
5. To add another condition, click the Add button (+).
6. Repeat Steps 4 and 5 until you have specified all the conditions for your Smart Mailbox.
7. If you specified two or more conditions, use the Contains messages that match X of the following
conditions list (where X is Any or All) to decide how Mail applies the conditions.
Any. Choose this item to have Mail add a message to the Smart Mailbox if it meets at least one of the
conditions.
All. Choose this item to have Mail add a message to the Smart Mailbox if it meets all the conditions.
8. If you want to include any Trash mailbox messages that satisfy the conditions, select the Include
messages from Trash check box.
