Responding to.and Forwarding Emails
When you receive an email, you can choose to reply to it by creating a
new message, but it is often easier to use the Reply feature in your email
client. When you select a message and then choose Reply, the mail client
starts a new message for you that is pre-addressed to the original sender,
with the original subject in the Subject line preceded by RE: and the
original message quoted in the message body. This saves time because all
you have to enter is your reply. Figure 9.14 shows a reply being com-
posed in Outlook 2010.
Reply A message that is sent back to the original
sender.
Figure.9 14 A reply includes the original subject and message body, and the original sender is set as the recipient.
The Reply All feature works just like Reply except it addresses the
message not only to the original sender but also to any co-recipients on
the original message. (It does not include recipients who got their copies
through Bcc.)
Reply All A message that is sent back to the
original sender plus to any other recipients.
To send a message you've received from one person to someone else, use
the Forward feature. When you forward a message, the original subject
appears in the Subject line, preceded by FWD:. The original message
body appears in the body area, and if the original message contained any
attachments, they are included as attachments in the forwarded email
too. Everything is filled in for you except the new recipient. Fill in the
new recipient in the To box and send the message.
Forward A copy of a message sent on to some-
one other than the original sender.
Out of.Office/Automatic Replies
If you know you won't be responding to emails for a few days, it's polite
to set up an out-of-office message . When people send you an email,
they'll get an automatic response explaining that you are out of email
contact at present but will attend to their messages as soon as you return.
out-of-office message A message that people
receive when you are unable to personally answer
your email for a certain time.
