WINDOWS MEETING SPACE:Share Files, Programs, and Your Desktop

When you are a participant in a Windows Meeting Space session, your workspace includes an icon for each session participant and a Handouts link. The Handouts link enables you to share documents (handouts, in Windows Meeting Space parlance) with other session participants, and they with you. These handouts can be edited by any member of the session, and the changes made will appear in each person’s copy of the handout (the original file remains intact).
Windows Meeting Space also allows you to present programs and even your entire desktop in the Share a Program or Your Desktop area — that is, to transmit the contents of your screen to the other members of the session, enabling them to take command of those programs or the desktop as needed. You can also use Windows Meeting Space to pass notes. All communication is encrypted to ensure that only authorized session participants can access the shared information.

Send a Note to Another Participant

1 To send a note to another participant in your session, right-click the participant’s icon in the session window.
2 Choose Send a Note.
3 Type the text for your note.
4 Click Send.

Share a Handout

1 To share a document with the other participants, click Add a Handout.
Note: If a dialog box appears, read its contents carefully and click OK to proceed.
2 Click the document you want to share.
3 Click Open.

Share a Program

1 To share a running application, or even your whole desktop, with the group, click the Share a Program or Your Desktop link.
Note: If a dialog box appears, read its contents and click OK to proceed.
• The Start a Shared Session dialog box opens.
2 Click Browse for a File to Open or Share to locate the item you want to share, or click Desktop (shown here).

3 Click Share.
• The session window changes to indicate that you are presenting your desktop or the selected application or file to the group.
• To see how your presentation looks on the other computers in your session, click Show Me How My Shared Session Looks on Other Computers.

Tips

Important!

If you have trouble connecting to a session, you may not have the necessary firewall ports open. If your system runs Windows Firewall, fix the problem by checking the Windows Meeting Space checkbox in the Windows Firewall dialog box’s Exceptions tab.

Important!

If, when you share an application, other participants see large black areas, minimizing any windows covering that application on your screen should solve the problem.
