Database Reference
In-Depth Information
By controlling the appearance of your different views, you can start to see how much cus-
tomization power FileMaker gives you over your data in Browse mode. And now that you've
gotten your feet wet in Layout mode, be sure to read Chapter 7 to learn how to control the
look and behavior of the Form layout itself. Now, though, it's time to learn some sophistic-
ated ways to find specific records.
Advanced Find Techniques
In Chapter 1 , you learned about using Find mode for simple searches, like finding all the
people who live in a certain city. But often searching in a single field isn't specific enough to
give you the records you need. For example, you may want to find people who live outside
your city and who haven't responded to your last email campaign. Or you may just need to
repeat the same search you did a couple of hours ago. To get what you need, you'll have to
be familiar with all the ways you can search your data.
Multiple Requests
You can tell FileMaker to search for more than one item at a time. But depending on how
you enter your search terms, you can get very different results.
Searching with “AND” Conditions
If you want to find every person who's marked “Active” in the People database and who
lives in Kentucky, a computer geek would say that you need to do an AND search . This term
means you're asking for records where the status is Active and the State field is KY. Either
Active or KY alone wouldn't get the job done. An AND search is more restrictive than a
single-field search because more of your search terms have to match before FileMaker puts a
record into your found set. Although it's complex to think about, you can easily set up a mul-
tiple request search. Start by switching the layout to Form view and then do the following:
1. Choose View Find Mode or, in the Status toolbar, click Find .
FileMaker opens a new find request.
2. From the State field pop-up menu, choose KY .
You're telling FileMaker to find all records for people who live in the state of Ken-
tucky. That's your first search term.
3. In the Status field, click to the left of the word Active to select it .
This second search term narrows the range of matching records. FileMaker knows
that it has to show only those records that match both search terms you've entered.
