And finally there is the complete set of system documentation. The documenta-
tion to be delivered together with the software is described in detail in the imple-
mentation contract. It can be provided on different media:
• Paper (rather rarely),
• Data carrier,
• Electronically with the software (online),
• Electronically per link,
• Or on more than one of those media.
Normally the documentation includes:
• Description of the overall functionality:
- Presentation of those business processes being supported by the operation of
the software,
• Production schedule:
- Job sequence including parameters and configuration particulars required for
their execution,
• List of delivered items:
- Software components, data base system, jobs, utilities etc.
Inventory document:
- Only when hardware is delivered at the same time by the supplier,
• Concept of operation:
- In addition to the production schedule: data backup strategy,
logging,
support etc.
• User documentation:
- Work instructions structured according to the professional responsibilities of
the user usually as online help,
• Customising documentation:
- Functional and system defaults and defaults for certain data items.
Functional and technical documentation should have the most recent release
status before acceptance.
It is important that there is consensus between all parties concerned, which
documents have relevance for acceptance.
