Step 5: Build the Main List Report
Now we will create the select list report that will be used as the main list in the report.
1.
From the
Data Items
tab in the
Insertable Objects
pane, drag the
Actual_Shipped_
by_Branch
query into the
Page Body
of the work area.
Yo u noticed that if you drag a query onto the page without specifying a data container, it
will create a list report for that query.
2.
In the new list, cut the
Ye a r ( s h i p d a t e )
and
Month (ship date)
columns from the list.
3.
Click the
Branch
column to select it.
4.
From the toolbar, click the
Group/Ungroup
button.
Now we want to sort the retailers within the branch based on the quantity sold to that
retailer.
5.
From the toolbar, click the
Sort
button and select
Edit Layout Sorting
to open the
Grouping & Sorting dialog box.

The toolbar option in IBM Cognos 8 Report Studio is
Sort
, and the
item in the list is
Advanced Sorting
instead of
Edit Layout Sorting
.
6.
In the dialog box, drag
Retailer
from the
Data Items
pane into the
Groups
folder in the
Groups
pane.
NOTE
This is another way of creating grouping in a report, but it will not change the
Group Span
property, so the retailer names will repeat for every city.
7.
From the
Data items
pane, drag
Quantity
into the
Sort List
folder for
Retailer
.
8.
Click the
Sort Order
button to change the order from
Ascending
to
Descending
.
Now the Retailers are sorted from highest to lowest for each branch in the report. We
also want to sort the retailer sites in descending order based on quantity.
9.
From the
Data items
pane, drag
Quantity
into the
Detail Sort List
folder.
10.
Change the
Sort Order
from
Ascending
to
Descending
.
11.
Click
OK
to close the dialog box.
12.
In the list, click
Quantity
.
13.
From the toolbar, click the
Summarize
button and select
To t a l
to create the footer data
that will be moved to the header.
COGNOS 8 NOTE
The
Summarize
button is called
Aggregate
.
