3. Confirmation of verbal instructions

Notes from Contract Practice: Most of the organised construction firms use CVIs
(confirmation of verbal instruction). These may be in a simple pad format. The con-
tract contains clauses relating to the procedure for confirming verbal instructions
either from the architect or the clerk of works. The confirmation of architects or other
verbal instructions given by the consulting engineer, may be recorded in the monthly
site minutes. A separate heading should be included in the minutes to ensure that
variations are raised at the appropriate stage in the meeting agenda.
4. Weekly site report
On the small/ medium sized projects, the weekly site report will be compiled by the
site manager/ project manager. The main purpose is to report on the present and
future labour and subcontract requirements.
A review of the progress position is indicted together with an assessment of fur-
ther delays likely to occur. A summary of key information requirements is highlighted
(with respect to labour, plant, materials and subcontractors). Outstanding site
instructions may be shown together with key drawings awaiting issue.
