For example, a process for Java development may recommend well-
structured documentation within the source code, which can be extracted
as a meaningful “Javadoc” later. Developers can relate to its need instead
of feeling that they are generating “unnecessary paperwork.” Processes
must be sold internally.
Design Feedback and Improvement Mechanisms into the
Process
No process can be perfect, especially the first time it is created. One must
perfect it over a period of time. Always be open and actively solicit
feedback about the effectiveness of a process. Remember that processes
follow the same life cycle as a law in basic sciences. One starts with a
hypothesis, and after much validation, formalizes a theory.
Keep Processes Simple
Having a process that is explainable and understandable is key. It is better
than having a complex process that covers all aspects but is not understood
by anybody. A well-known software design guideline is captured by the
acronym “KISS,” implying “Keep It Simple, Stupid.” A process that is too
complex is destined for failure. One should not add any tasks or activities
to the process unless they are critically needed. Instead of trying to define
steps for every condition that could possibly arise, one could have a
“catch-all” step: for example, “For all other situations, please refer to the
manager.” In fact, like a beachcomber with a metal detector, do a periodic
sweep of the processes to remove any legacy tasks that have no current
significance.
It brings to mind the example of the purchase of a mainframe computer
by a large organization, for which part of a building façade had to be
destroyed to get the machine inside the building with the help of cranes.
It was a one-off situation, although painful to all involved. Because of
this one incident, it was stipulated that all IT (information technology)
hardware acquisitions would need clearance from the building civil works
department. This requirement remained in place for a long time — a
major nuisance for people wanting to buy even a laptop. This is an
example of a process that was introduced for apparently valid reasons
but needs some serious beachcombing.
